Procurement Officer - Portuguese speaking

To source spare parts as quick as possible at the best price as quick as possible. • To maintain a stock level of fast moving parts. • To assist all provinces on parts needed. • To send off parts to all provinces asap as needed. • To attain stock levels and to know what parts is in all provinces to be able to assist within an emergency parts to another province asap. • To do a stock take every month end with in the Beira parts store. • Maintain a stock cards/sheets and pricing of spare parts. • Look at the need of parts that has to be kept on in stock. • Not to purchase parts that is not necessary to keep in stock. • Remember parts on shelf means the money is not in the bank. • No parts to be kept in stock that is dead stock. • Liaise with all provinces and South Africa to needs. • Liaise with South Africa HQ on where to obtain parts and how to ship them in. • How to handle all customs clearing documentation when/where and how, contact details phone numbers ext. • How does freight work by road and air. • To raise all PR’s that is needed to purchase spare parts with the necessary documentation as laid down by JAM. • To follow up on all PR’s outstanding. • Compile and control spending within the budget lines. • Work closely with finance dept. On budget items. • Request commitment budget on a monthly bases and to make sure that it is in line on spares needed. • Liaise with all mechanics on what parts to keep in stock and what quantity.
Key Skills / Competencies • Knowledge of the procurement, transportation, shipping and customs experience is an advantage. • Knowledge of main procurement policies and standards procedures. • Great analytical ability. • This position requires an initiative person, who can do his/her duties with little of no supervision. He/she must be diligent in documentation of work, must have integrity and able to cooperate with the warehouse staff, truck drivers and transporters. • Languages Required: Written and spoken Portuguese and English Required. Local languages preferred.
Education Required • At least a National High School Diploma in logistics and alike.
Experience Required • Preferable experience with an NGO or UN in procurement management and spare control. • Experience in ports operations, discharge and dispatch, dispatch and logistics planning, and knowledge of computers especially elaboration of worksheets and tracking system or statistical programs.
